1. Initial Troubleshooting Steps (The "Big Three")
Before diving into specific issues, perform these quick, common fixes:
Invitee sees no available times, but the user is free.
3. Double Bookings (Events Scheduled When Busy)
Invitee booked a time that was already occupied on the user's personal calendar.
4. Calendar Sync Issues (Events Not Showing Up)
Meeting is booked in Calendly but doesn't appear in Google/Outlook.
5. Time Zone Inconsistencies
Meetings are scheduled at the wrong time.
6. Zoom/Video Conferencing Links Missing
Meeting is scheduled, but no Zoom/Teams link is provided.
7. "Oops" or Blank Page on Sign-in
Before diving into specific issues, perform these quick, common fixes:
- Clear Browser Cache/Cookies: Many issues are due to old data.
- Use Incognito/Private Mode: This rules out browser extension conflicts (like ad-blockers or VPNs).
- Check Browser/OS Updates: Ensure the browser is up-to-date.
Invitee sees no available times, but the user is free.
- Use the Troubleshooting Tool:
- Log in to Calendly, open the live booking page, and click Troubleshoot at the bottom.
- Click the date that should be available to see why Calendly thinks it is blocked.
- Check Calendar Connection: The connected calendar may have lost authorization. Go to Calendar Connections and reconnect if necessary.
- Check "Busy" Events: Calendly only checks events marked "Busy." If an all-day event is marked "Busy" in Google/Outlook, it blocks the whole day.
- Check Buffer Times: Ensure long buffers before/after meetings aren't blocking up the day.
3. Double Bookings (Events Scheduled When Busy)
Invitee booked a time that was already occupied on the user's personal calendar.
- Check Calendar Connections: Verify that the correct calendar (e.g., Google or Outlook) is selected to "check for conflicts".
- Verify "Busy" Status: Ensure the event on the user’s personal calendar is actually marked "Busy," not "Free".
- Check Sub-calendars: Ensure all relevant sub-calendars are selected in the Check for Conflicts section.
4. Calendar Sync Issues (Events Not Showing Up)
Meeting is booked in Calendly but doesn't appear in Google/Outlook.
- Reconnect Calendar: Disconnect and reconnect the calendar in Calendar Connections.
- Check "Add to Calendar" Setting: Verify the correct calendar is selected to "Add to calendar" in the connection settings.
- Check Realtime Sync (Outlook): If using the Outlook plugin, ensure it is running in the system tray and set to "Realtime" in Advanced Settings.
5. Time Zone Inconsistencies
Meetings are scheduled at the wrong time.
- Check Account Settings: The user's primary time zone might be incorrect. Go to Account Settings and check the time zone.
- Check Event Type Settings: Ensure specific event types are not set to a different, hardcoded time zone.
6. Zoom/Video Conferencing Links Missing
Meeting is scheduled, but no Zoom/Teams link is provided.
- Verify Zoom Integration: Go to Integrations & Apps and confirm Zoom is authorized.
- Re-authorize Zoom: Disconnect and reconnect the Zoom integration if it says "Action Needed".
- Check Event Location Setting: In the Event Type settings, ensure the Location is set to Zoom.
7. "Oops" or Blank Page on Sign-in
- Disable VPNs: NordVPN is known to cause connectivity issues with Calendly.
- Disable Ad Blockers: Turn off ad blockers or privacy tools.
- Check Cookie Settings: Go to Account Settings > Cookie Settings and ensure Functional Cookies are enabled.
